Export receipts to QuickBooks or Xero: setup and what syncs
Connect BookZero to QuickBooks Online or Xero, choose the accounts receipts post to, and send them as expenses with the receipt image attached. What syncs, what is skipped, and how to check it.
BookZero sends your receipts to QuickBooks Online as Expenses and to Xero as Spend Money transactions, with the receipt image attached. You connect once from Settings, pick the account the money was paid from and a default expense account, then push matched receipts, all receipts, or the ones you select.
This suits a freelancer or small business in Canada or the US whose accountant works in QuickBooks or Xero while receipts are captured and checked in BookZero. This guide covers setup, exactly what each record contains, what is skipped, and how to confirm the result.
Which plan includes the QuickBooks and Xero export?
The QuickBooks and Xero connection is part of the Growth plan and above. Receipt capture, statement import and matching are available on every plan, so you can prepare records before you upgrade. Compare plans on the pricing section.
How do I connect QuickBooks or Xero?
- In BookZero, open Settings and then Integrations.
- Choose QuickBooks or Xero and sign in with your own login or your accountant's. Approve access to the company or organization the receipts belong in.
- Back in BookZero, choose the Paid from account (the bank or credit card account that paid for the purchases) and the default Expense account.
Each workspace connects to one QuickBooks company and one Xero organization. If the connection expires, the Integrations card asks you to reconnect before the next push.
What does each receipt become in QuickBooks or Xero?
| Field | QuickBooks Online | Xero |
|---|---|---|
| Record type | Expense (Purchase) | Spend Money (bank transaction) |
| Paid from | The account chosen at setup | The account chosen at setup |
| Date | Receipt date | Receipt date |
| Amount | Receipt total on one expense line | Receipt total on one line, tax inclusive |
| Vendor | In the private note | As the contact |
| Line description | Receipt description, or the vendor | Receipt description, or the vendor |
| BookZero category | In the private note, with the vendor | In the reference, with the vendor |
| Attachment | Receipt image | Receipt image |
Every receipt posts to the one default expense account you chose. BookZero does not map its categories to separate accounts in your chart of accounts; the category travels in the note so you or your accountant can reclassify the entry in QuickBooks or Xero.
What is attached to the exported receipt?
The attachment is the copy of the receipt with private details blacked out, the same areas BookZero's AI marks on the receipt. The original file stays in BookZero.
If a receipt has a file but its blacked-out copy is not ready, the expense is still created, without the picture, and the push tells you how many went without one. Push again once the copy is ready and BookZero adds the missing attachment to the existing entry instead of creating a second one. A receipt you typed in by hand has no file, so it is sent without an attachment.
Which receipts are sent, and which are skipped?
You choose the batch:
- Matched receipts: receipts already matched to a bank or card transaction. This is the usual choice, because the payment is confirmed.
- All receipts in the workspace.
- Selected receipts: tick receipts on the Receipts page and export just those.
Some receipts are held back with a reason instead of being sent:
- Already sent. A receipt that synced before is not sent again, so repeating a push does not duplicate entries.
- Not an expense. Refunds and income receipts are skipped, because every export creates a purchase.
- Different currency. A receipt in a currency other than the company's is skipped. BookZero does not convert currencies.
Bank transactions are never pushed. QuickBooks and Xero have their own bank feeds, and sending statement lines as well would double-count spending. Large batches continue in the background, and the Integrations card shows the result when the push finishes.
How do I check the export?
Start with a few recent matched receipts. In QuickBooks, open the expense and confirm the date, total, payment account and attachment. In Xero, open the Spend Money transaction and check the contact, the tax-inclusive amount and the file. Then reclassify any entries whose category should land in a different expense account.
Agree the handoff with your accountant before sending a backlog. If they already entered some of those expenses by hand or from a bank feed, decide which record to keep so the same purchase is not recorded twice. Our accounting automation checklist covers that trial run, and the bookkeeping automation guide follows a purchase from capture to handoff.
Prefer a file? BookZero also exports receipts and matched pairs to CSV and Excel, with a link to each receipt inside the app.
Frequently Asked Questions
Does BookZero work with QuickBooks Desktop?
No. The connection is with QuickBooks Online. For other software, use the CSV or Excel export.
Are bank transactions sent to QuickBooks or Xero?
No. Only receipts are sent. QuickBooks and Xero import bank activity through their own bank feeds.
Will pushing the same receipts twice create duplicates?
No. A receipt that already synced to that QuickBooks company or Xero organization is skipped on later pushes. A receipt that synced without its picture only has the attachment added.
Do BookZero categories map to my chart of accounts?
Not yet. Every receipt posts to the default expense account you choose at setup, and the BookZero category is written into the entry's note so it can be reclassified.
Can I connect my accountant's QuickBooks or Xero?
Yes. Sign in with the login that has access to the company or organization the receipts belong in, whether yours or your accountant's.
