How does the BookZero QuickBooks integration work?

You connect QuickBooks Online once with your Intuit login. BookZero then pushes each scanned receipt into QuickBooks as an expense, paid from the account you choose, with the receipt image attached.

Which plan includes QuickBooks sync?

QuickBooks and Xero sync are on the Growth plan and up. Every plan has a 7-day free trial.

Does BookZero work with QuickBooks Desktop?

No. It connects to QuickBooks Online only.

Are my categories mapped to QuickBooks accounts?

Not yet. Every receipt goes to the one expense account you pick when you connect, and the BookZero category is written into the memo so you can see it in QuickBooks.

Does it push bank transactions to QuickBooks?

No. Only receipts are pushed. QuickBooks already gets your bank transactions from its own bank feed.

What if a receipt is pushed twice?

It is not. BookZero remembers each receipt it has sent and skips it on the next push.

What syncs to QuickBooks

Expense: Each receipt becomes one QuickBooks expense (a Purchase) with a single line.
Date and amount: The receipt date and its total.
Paid from: The bank or credit card account you pick when you connect.
Expense account: The default expense account you pick when you connect.
Memo: The BookZero category and vendor, for example “BookZero: Office expenses — Staples”.
Receipt image: Attached to the expense. It is the copy with private details blacked out, never the original.

Receipts only: bank transactions are not pushed, since QuickBooks has its own bank feed. Categories are not mapped to separate accounts yet.

Set it up in four steps

Start a 7-day free trial and add a few receipts.
Open Settings → Integrations and connect QuickBooks. You sign in with Intuit and pick the company.
Choose the account your receipts are paid from and the expense account they go to.
Push matched receipts or all receipts, or select receipts in your receipts list and export them.

The full receipt total goes on one expense line. GST/HST or sales tax is not split into a QuickBooks tax code, so set the tax in QuickBooks if you claim it there.
