What the invoice scanner extracts
- Vendor
- The business that billed you.
- Invoice date
- The billing date printed on the invoice, as YYYY-MM-DD.
- Line items
- Each line’s description, quantity and price.
- Subtotal and tax
- The pre-tax amount, with GST/HST and PST split out when they are printed.
- Total
- The amount due or paid, as printed.
- Currency
- The one printed on the invoice, or the CAD or USD you pick when none is.
- Category
- A CRA T2125 expense line for CAD, or an IRS Schedule C line for USD.
- Payment method
- When the invoice shows how it was paid.
It does not read the due date or payment terms, and it has no dedicated invoice-number field.
Invoice OCR software, in plain terms
Invoice OCR turns an invoice image or PDF into data you can use. Older OCR tools match fixed templates, so a new vendor layout breaks them. This scanner uses an AI model that reads the page the way a person would, so it handles a hosting bill, a utility statement and a contractor’s invoice without setup.
Invoice scanning software for small businesses
Most invoice scanning software is sold to accounts-payable teams. BookZero is for the owner who pays the bills and files the taxes: each invoice is read, filed under a CRA or IRS category, and matched to the bank transaction that paid it.
BookZero does not approve, schedule or pay supplier bills. If you need an approval workflow, pair it with your AP tool.
Accuracy and limits
Sharp, printed invoices read best. Handwritten invoices and faint scans can come back with gaps, so check the result against the page. The free scan reads one invoice per file; split a PDF that holds several. When a total is printed, the scan uses it rather than adding up the lines.
Keep every invoice with your books
With an account, invoices and receipts land in one place, each under its tax category and matched to your bank transactions, ready to export to QuickBooks or Xero.
