Subscription tracking for freelancers and small businesses

Track recurring software and service charges from your receipts and bank statements: what each vendor has cost, when it was last paid, and which billing periods are missing a record.

Subscription tracking means listing every vendor that bills your business on a schedule, what each one has actually cost, and which billing periods still lack a receipt. BookZero builds that list for you from the receipts and bank statements you already import, so you do not maintain a separate spreadsheet of renewals.

For a freelancer or small business in Canada or the US, recurring charges are easy to lose. A monthly design tool, a quarterly hosting bill and an annual domain renewal each produce a receipt that arrives by email, if it arrives at all. This guide explains how recurring charges are detected, what the subscription list shows, and how to close the gaps before tax time.

How does BookZero find my subscriptions?

BookZero looks for vendors that charge you on a regular schedule. A vendor is treated as a subscription when all three of these hold:

  • There are at least three charges from the same vendor.
  • The typical gap between charges is about a month (28 to 31 days), a quarter (88 to 93 days) or a year (360 to 370 days).
  • The amounts stay close to each other. A plan that rises slightly in price still counts, while ordinary shopping at the same store, where totals vary widely, does not.

Detection reruns every time you import receipts or a bank statement, and it reads roughly the last three years of history so annual renewals are visible. Vendor names are normalized first, so the same service spelled two ways on different statements is counted as one vendor.

Vendors that bill on an irregular schedule, such as every six weeks, are not guessed at. They stay in your normal expense records and are not projected forward.

What does the subscription list show?

Both the Receipts page and the Transactions page have a Subscriptions tab. Each one reads only its own records: the Receipts tab is built from uploaded receipts, and the Transactions tab from imported statement lines. That separation lets you see whether the paperwork and the payments agree.

For each recurring vendor, the list shows:

  • Cadence: monthly, quarterly or annual.
  • Charges: how many billing periods were actually paid.
  • Missing: billing periods where a charge was expected and nothing was recorded.
  • Total spent: the sum of the charges that happened, not the plan price multiplied by months.

A Breakdown view draws the same vendors as a chart, by amount or by number of charges, so the largest recurring costs stand out. Selecting a vendor opens that vendor's receipts or transactions on the page you came from.

How do I find the receipts I am missing?

Open a vendor's month grid from the Missing column. It lays out every expected billing period and marks which ones were covered and which were not. From a missing period you can upload the receipt with the vendor, expected date and expected amount filled in, then check them against the document.

Missing periods on the receipts side also appear in the dashboard's needs-attention list, so a gap does not depend on you remembering to open the tab.

Some gaps are not real. If a provider gave you a free month or paused billing, mark that period as having no charge and it stops counting as missing.

A $0 period still counts as paid

A credited or comped month that appears with a zero amount is recorded as a payment that happened. It is not reported as missing.

What happens when I cancel a subscription?

When two expected billing periods in a row pass with nothing recorded, BookZero treats the subscription as ended and stops reporting new gaps for it. That keeps a cancelled service from showing one missing receipt every month indefinitely.

You can also mark a subscription as ended yourself from its month grid. A manual end is kept even when later imports run detection again, so a cancelled service does not reappear as active.

Why track subscriptions for taxes?

Recurring software and services are ordinary business expenses for many freelancers, but each charge still needs support. The CRA's guidance on keeping records and the IRS's page on recordkeeping both expect documents that support the expenses you claim.

A statement line shows that a payment left your account. The receipt or invoice shows what you bought. Comparing the two Subscriptions tabs shows where one exists without the other. Our self-employed expense tracker guide covers the weekly review that keeps those records current, and the T2125 guide and Schedule C categories guide cover where these expenses are reported. Ask your accountant how a particular service should be categorized for your business.

A routine for recurring charges

  1. Import the latest bank or card statement and upload the receipts you have.
  2. Open the Subscriptions tab on Transactions and confirm each vendor is a business expense.
  3. Open the Subscriptions tab on Receipts and work through the Missing column.
  4. Download any invoices still sitting in the vendor's billing portal and upload them into the missing periods.
  5. Mark services you have cancelled as ended, and periods that were never billed as having no charge.

Frequently Asked Questions

Do I need to connect a bank account for subscription tracking?

No. BookZero detects subscriptions from the receipts you upload and the bank or card statements you import. Either source on its own is enough to build that source's Subscriptions tab.

How many charges does BookZero need before it shows a subscription?

Three charges from the same vendor, spaced monthly, quarterly or annually, with amounts that stay close to each other. Fewer charges cannot show a reliable schedule.

Does BookZero cancel subscriptions for me?

No. BookZero tracks recurring charges and their receipts. You cancel a service with the vendor, then mark it as ended in BookZero if you do not want to wait for two missed periods.

Will a price increase break subscription detection?

A modest change, such as a tax rate change or a plan price increase, still counts as the same subscription. Charges that vary widely from one period to the next are treated as ordinary purchases instead.

Can I track subscriptions in Canadian and US businesses?

Yes. Detection works from dates and amounts on your own records, so it applies to Canadian and US workspaces alike.
