Whether you're a merchant who needs past transaction records or a customer trying to find a receipt for a purchase you made at a Square-powered business, this guide covers every method available in 2026 to locate, download, and manage Square receipts.

Square processes billions of transactions annually, and every one of them generates a digital record. The challenge is knowing where to find it and how to export it for bookkeeping, tax filing, or expense tracking.

For Merchants: Finding Receipts in Square

If you accept payments through Square, your transaction data lives in two places: the Square Dashboard (web) and the Square POS app (mobile). Here's how to access receipts in both.

Method 1: Square Dashboard (Web)

The Square Dashboard is the most comprehensive way to view and manage your transaction history.

  1. Go to squareup.com and sign in to your Square account
  2. Click Transactions in the left sidebar
  3. Use the filters at the top to narrow by date range, payment type, location, or employee
  4. Click on any transaction to view the full receipt details
  5. From the transaction detail view, click Send Receipt to email a copy or Print to generate a printable version

The transaction detail page shows the itemized purchase, payment method (last 4 digits of card), tip amount, taxes collected, and the exact timestamp.

Method 2: Square POS App (Mobile)

If you're on the go or working from a tablet at your point of sale:

  1. Open the Square POS app on your phone or tablet
  2. Tap the hamburger menu (three lines) in the bottom navigation
  3. Tap Transactions
  4. Browse or search by date, amount, or card number
  5. Tap a transaction to view the receipt
  6. Choose Send to email or text the receipt, or Print if connected to a receipt printer

Quick Search by Card Number

If a customer asks for a receipt and you know the last 4 digits of their card, use the search field in the Transactions tab. Square lets you filter by card number, making it fast to find a specific purchase.

Method 3: Exporting Transaction History

For bookkeeping and tax purposes, you often need bulk transaction data rather than individual receipts.

  1. In the Square Dashboard, go to Transactions
  2. Set your date range filter (e.g., the full tax year or a specific quarter)
  3. Click the Export button (CSV icon) in the top right
  4. Choose CSV format for spreadsheet use or PDF for a formatted report
  5. The export includes transaction date, amount, payment method, item details, tips, taxes, and fees

This CSV export is what you'll use for reconciling Square income with your bookkeeping records. It contains the gross amount, Square's processing fees, and the net deposit amount.

Method 4: Email Receipts (Automatic)

Square can automatically send digital receipts to customers after every transaction:

  1. In the Square Dashboard, go to Account & Settings
  2. Navigate to Receipts
  3. Toggle on Automatic Receipts to send a receipt after every sale
  4. Customize the receipt with your business logo, return policy, and social media links

When enabled, customers receive an email or text receipt within seconds of completing their purchase. As the merchant, you also receive a copy in your transaction history.

For Customers: Finding Your Square Receipt

If you made a purchase at a business that uses Square and need your receipt, you have several options.

Method 1: Check Your Email or Text Messages

If the merchant had automatic receipts enabled (or you provided your email/phone at checkout), search your email inbox for:

  • From: "Square" or "squareup.com"
  • Subject: Usually contains the business name and "Receipt"

Search your inbox for "Square receipt" or the name of the business. If you provided your phone number instead, check your text messages for a link to a digital receipt.

Method 2: Square Receipt Lookup (Online)

Square provides a public receipt lookup tool that any customer can use:

  1. Go to squareup.com/receipt
  2. Enter the last 4 digits of the card you used for the purchase
  3. Enter the approximate date and amount of the transaction
  4. Square will search for matching transactions and display the receipt

This method works even if you never provided your email at checkout. As long as the payment was processed through Square, the record exists.

Receipt Lookup Limitations

The lookup tool only works for card payments processed through Square. Cash payments won't appear. You'll also need to know the approximate transaction amount and date for the search to find a match.

Method 3: Contact the Business Directly

If the online methods don't work, the merchant can always resend your receipt from their Square Dashboard or POS app. Most businesses are happy to help — they just need:

  • The approximate date and time of purchase
  • The last 4 digits of the card used (if applicable)
  • The approximate amount

The merchant can then look up the transaction and send you a copy by email or text.

What Information Appears on a Square Receipt

Understanding what's on your Square receipt helps with bookkeeping and tax documentation.

A standard Square receipt includes:

FieldDescriptionBookkeeping Use
Business name and addressThe merchant's registered detailsVendor identification
Date and timeExact timestamp of the transactionTransaction dating
Items purchasedItemized list with quantities and pricesExpense categorization

TipTip amount (if applicable)Meal/entertainment deductions

For bookkeeping, the most critical fields are the date, total amount, tax breakdown, and vendor name. These are what you need to properly categorize expenses and claim deductions at tax time.

Using Square Receipts for Tax Deductions

United States

If you use Square to make business purchases, those receipts are valid documentation for tax deductions. The IRS requires that you keep records of business expenses including the amount, date, business purpose, and vendor.

Square receipts meet these requirements, but you should also note the business purpose of each expense — this isn't on the receipt itself and should be added to your bookkeeping records.

Common deductions from Square purchases include:

  • Office supplies purchased at retail stores using Square
  • Business meals at restaurants using Square POS (50% deductible)
  • Professional services paid through Square invoices
  • Equipment and tools purchased from Square merchants

If you're a Square merchant, your Square processing fees are also deductible as a business expense. These appear on your monthly Square statement and in your CSV export.

Canada

Square receipts work the same way for CRA tax reporting, with the added importance of GST/HST documentation.

The CRA requires that receipts show the supplier's GST/HST registration number to claim Input Tax Credits (ITCs). Check that your Square receipts (or the receipts from businesses where you shop) include this number. For more on GST/HST requirements, see our complete GST/HST guide for small businesses.

Key points for Canadian Square users:

  • Square receipts that show GST/HST as a separate line item are valid for ITC claims
  • Keep receipts for a minimum of 6 years as required by the CRA
  • Square processing fees (2.65% per tap/dip in Canada) are deductible as a business expense
  • If you're self-employed, categorize Square expenses according to T2125 form categories

Square in Canada: GST/HST Considerations

Square has operated in Canada since 2012 and processes payments in Canadian dollars. If you're a Canadian merchant using Square, there are specific GST/HST requirements to keep in mind.

Setting Up Tax Collection in Square

  1. In the Square Dashboard, go to Account & Settings > Business > Sales Taxes
  2. Add the applicable tax rates for your province (GST, HST, PST, or QST)
  3. Square will automatically calculate and add the correct tax to each transaction
  4. The tax collected appears as a separate line item on receipts

GST/HST on Square Processing Fees

Square's processing fees (2.65% per transaction for tap/dip in Canada) are subject to GST/HST. This means you can claim ITCs on those fees. Square charges GST/HST on its fees and provides a monthly statement showing the tax breakdown.

To find your Square fee invoices:

  1. Go to Account & Settings > Account > Invoices in the Square Dashboard
  2. Download the monthly invoice that shows processing fees and the GST/HST charged on those fees
  3. Use these invoices to claim ITCs on your GST/HST return

Keep Your Square Fee Invoices

Many Canadian small business owners forget to claim ITCs on their Square processing fees. Over a year, this can add up to significant unclaimed credits. Download your monthly Square invoices and include them in your bookkeeping.

Reporting Square Income to CRA

All income received through Square must be reported on your tax return. If you're self-employed, report it on your T2125 Statement of Business Activities. The CSV export from Square is the easiest way to get a complete record of your annual income.

For businesses registered for GST/HST, you'll need to remit the tax collected through Square on your regular filing schedule (monthly, quarterly, or annually depending on your revenue). See our GST/HST registration guide for filing frequency details.

Frequently Asked Questions

How far back can I find receipts in Square?

Square retains your complete transaction history for as long as your account is active. There is no time limit — you can access receipts from years ago through the Square Dashboard. For bulk access, use the CSV export with a custom date range.

Can I find a Square receipt without an email?

Yes. As a customer, use Square's receipt lookup tool at squareup.com/receipt with your card's last 4 digits and the approximate transaction date and amount. As a merchant, all transactions are stored in your Dashboard regardless of whether a receipt was emailed.

Does Square provide receipts that work for tax deductions?

Yes. Square receipts include the date, amount, vendor, itemized purchases, and tax breakdown — all of which meet IRS and CRA requirements for expense documentation. For Canadian ITC claims, verify the receipt shows the supplier's GST/HST registration number.

How do I export all my Square receipts for my accountant?

In the Square Dashboard, go to Transactions, set your date range to cover the tax year, and click Export to download a CSV file. This file includes all transaction details, fees, and tax amounts. Your accountant can import this directly into most accounting software.

Can I customize what appears on Square receipts?

Yes. Merchants can customize receipts in the Square Dashboard under Account & Settings > Receipts. You can add your business logo, return policy, custom message, website, and social media links. You can also choose whether to show itemized details or just the total.
